Confirmation of booking – Applicable to custom packages.

Bookings: Custom events

  1. SIDECAR SPIRITS will provisionally reserve the date requested for a period of 14 (fourteen) days from receipt of payment of R1,000.00 (One Thousand Rand) Holding fee, whereafter, a 50 % non-refundable deposit of the venue fee needs to be paid on/before the expiry of the 14 days, to secure the date.
  2. Payment of the Holding fee will be CLIENT’S acknowledgement and acceptance of Terms and Conditions of the booking.
  3. Final headcount is due 7(seven) days prior to the event. No refunds will be given for non-attendance of guests after final headcount has been submitted.
  4. In the event of a full cancellation of the event, whereby nothing more than the holding fee is paid, The CLIENT will forfeit the Holding fee of R1,000.00 (one thousand rand) as well as any other deposits. Any possible refunds will be at the discretion of SIDECAR SPIRITS.
  5. The CLIENT will be invoiced directly by SIDECAR SPIRITS and will be responsible for the payment directly to SIDECAR SPIRITS.
  6. All bespoke arrangements which the CLIENT has requested, must be finalized and communicated in writing to SIDECAR SPIRITS at least 7 (seven) days prior to the commencement date of the function.


    Breakage deposit

  7. The booking Holding fee of R1,000.00 (one thousand) will serve as a breakage deposit. The breakage deposit will be added to CLIENT’S venue hire cost and is refundable, should there be no breakages or damages.
    The breakage deposit is applicable to all movable and immovable property at SIDECAR SPIRITS premises (12a Dickson Street, Woodstock, Cape Town).


    Beverage services

  8. Should the client have a specific beverage requirement, these should be clearly communicated to SIDECAR SPIRITS in writing prior to receiving a quotation. Email: Jackie@sidecarspirits.co.za WhatsApp: 064 249 7805
  9. Closing time: The event will end at the agreed time as per written communication between the CLIENT and SIDECAR SPIRITS. No extension of time will be entered into on the day of the event. Beverage services will stop 30 minutes prior to the agreed closing time.


    Venue rental:

  10. Venue Hire will start, and end, per times agreed upon between CLIENT and SIDECAR SPIRITS.
  11. A venue hire rate will be discussed with the CLIENT and quoted according to the needs of the CLIENT.
  12. This hire fee may or may not include staffing and clearing costs. The written and accepted quotation will specify all services and inclusions for the event.


    Safety and security:

  13. The CLIENT is obligated to ensure all guest related Health and Safety protocol requirements at SIDECAR SPIRITS premises are adhered to at all times.
  14. SIDECAR SPIRITS will not be responsible for any loss of, or damage to guests’ personal effects.


    Food:

  15. All prices quoted include 15% VAT. The final written quote will be VAT inclusive
  16. Specialized dietary requirements such as Halaal and Kosher meals etc. are subject to a surcharge. The CLIENT must place orders for these special meals at least 7(seven) working days prior to the event. Any allergens pertaining to any guests, needs to be communicated in writing to SIDECAR SPIRITS at this time.
  17. Should actual numbers fall below the final headcount within 7(seven) days of the event, or if guests do not arrive on the day of the event, THE CLIENT will be responsible for full payment as per the invoiced amount based on the final numbers submitted.
  18. Should the actual number of persons exceed that of guaranteed number given, final billing will then be based on the actual number of guests attending the event.
  19. Any changes to the menu, and guest , must be given in writing 7 (seven) days prior to the function date.
  20. All SUPPLIERS should be included in the guaranteed number and will be billed accordingly.
  21. Outside food and beverages may not be consumed on the premises.


    Flowers and decor:

  22. SIDECAR SPIRITS will supply all flowers and décor and will supply quotes accordingly.


    Smoking:

  23. Smoking is only allowed in designated smoking areas.


    Conclusion:

  24. The CLIENT will be responsible for the conduct of their GUESTS.
  25. SIDECAR SPIRITS reserve the right of admission and will not tolerate any unsociable behaviour by the client’s guests.
